Higher Colleges of Technology is a system of 17 colleges across United Arab Emirates. HCT is the largets higher education institution in UAE with enrollment above 18,000 students. HCT uses Student, Advancement, HR, and Finance modules of Banner. The higher educational institutions are typical organizations as they offer different courses, programs and educational services to meet the growing demands of labor market and society. Due to globalization, huge volume of students, higher number of institutions, diverse course offerings, funding constraints, etc, the modern-day higher educational system too faces all types of market pressures like other business organizations. Therefore, improving institutional efficiency and effectiveness to produce quality graduates is an important strategy to remain competent. Institutional Effectiveness is a continuous process of monitoring and assessing performance in order to enhance and upgrade operations of the institution. It is a continuous cycle which enables the administrators, faculty and students to have data-driven decisions, acts decisively, assess the results, and continually cycle back as part of a comprehensive process that begins with strategic planning and ends with specific follow-up. Integrating qualitative assessment and collaborative action of functional groups identifies the specific actions needed to overcome complex institutional challenges which constitute a major role of Institutional Effectiveness. The Institutional Effectiveness Management System (IEMS) is a web-based application, which has been developed in-house to support the Institutional Effectiveness process at HCT. In this presentation we will outline the Institutional Effectiveness process at HCT and will discuss the rationale and also cover the design and implementation of the IEMS.

AUAF has developed a report server using the SQL Reporting Service and created more than 200 customized school-specific reports categorized by enrollment, admissions, finance, student affairs, advising, general, grades, and more . HCT Exam Scheduling System

This session will provide you a full view of our in-house built ‘Exam Scheduling Application’. Right from System wide assessments done centrally to campus based exams with options consider manual and auto scheduling, room booking, conflicts identification and resolution to publishing the schedules. HCT with 17 campuses, 18,087 students (Fall 2012) , 982 faculty (Fall 2012) and over 5000 sections running every semester, had versatile requirements for an Exam Scheduling system. We evaluated various external systems for providing us a complete solution which can address our requirements. HCT made a consensus decision to build an in house Exam Scheduling system which is to be used by all HCT Campus Exam Coordinators, Course Leaders and Department Chairs to schedule system wide and college based exams. The system caters for both manual and automatic scheduling based on set rules. The system is role based and fully configurable according to requirements for specific campus or course or type of exam. The system helped HCT in producing an efficient, conflict free exam schedule with less effort and time and minimized the time to achieve final exam schedule for all students and faculty.

How to unlock the intelligence in your scheduling and resource management data. We will share some great examples of best practise in the quantitative analysis of data - and we will go further and discuss the more qualitative issue of what make a good timetable. Even if we accept that a good timetable is subjective and can change from one institution to another we will contend that the comparative analysis is worthwhile and highly informative. Scientia in collaboration with partner universities from around the world has developed a range of Key Performance Indicators with an associated analysis pack. The resultant graphical representation allows one university's schedule / timetable to be compared and contrasted with another university in the same city or on the other side of the world or an institution can compare one semester or one year with another. We don’t necessarily conclude what makes for a good or a bad timetable - but the results do make for an interesting discussion.

This session will give you a full idea on how student advising is implemented and how HCT utilized Banner Flexible registration to provide a mechanism for planning and registration for various courses for undergraduates students. In Fall 2012, HCT management decided to the enhance academic advising process and to involve students more in their program and course selection decision process along with their advisors and to build a strong relationship between advisors ad their advisees. In order to accomplish this, various features from Banner like curriculum information, catalog information, advisors and advisees information, registration and academic history of the advisees, academic status of the advisees etc. were brought together under one umbrella and enabled an online advisor approval form with e-signature solution which tracks advisor and advisee decisions on the academic career. Having a strong advising base, HCT decided to move away from Block Registration and to launch Online Registration for its Bachelor students. This was achieved usingthe Banner Flexible Registration system where campuses have the flexibility to set up their own catalogs for different sets of students according to their campus offerings and students can register online from the HCT Portal to their advised courses.
