1. Project Overview 1.1 Project Summary This project will pilot the Zandra Rhodes Digital Study Collection and an accompanying Open Education Resource (OER). Zandra Rhodes is among the most famous and recognisable names in British fashion over the last fifty years. Her work includes the design of haute couture dresses for clients such as Elizabeth Taylor, Freddie Mercury, and Diana, Princess of Wales, to more recent work for Anne, Princess Royal, Helen Miren, and costume design for opera. She has played a key role in establishing the UK as a leader in both the global fashion industry and in fashion education. The Digital Study Collection will provide unique open online access to images of 500 of the designer’s most iconic and landmark costumes. These will be selected out of a total of 2,500 garments by Zandra Rhodes and will cover her entire creative career from the late 1960s to the present day. From this substantial collection of intriguing and innovative fashion designs, 25 key works will be chosen to build an OER with the aim of embedding it in learning and teaching. These 25 captivating digital images will be enriched by primary and secondary source material in digital format. These will illuminate the commission process, design brief, technical aspects, material, production, occasions of wear, media exposures, and critical reviews, as relevant. The authenticity of the Digital Study Collection and the OER is safeguarded by a close collaboration with the fashion designer and her team. This unique Digital Study Collection will be hosted by the Visual Arts Data Service (VADS) at the University for the Creative Arts (UCA). The VADS national image repository currently brings together a total of approximately 13,000 textile and fashion-related items from a variety of collections, with a single search mechanism. The collections have been digitised for use in learning, teaching, and research (out of a total of over 120,000 visual arts images held by VADS on behalf of 300 collection holders). The OER will be launched on Jorum, the JISC-funded repository of learning and teaching materials run by Mimas at University of Manchester. Both resources will promote educational and research opportunities for the emergent and future generation of fashion and textile designers. They will open up free global access to this invaluable cultural and fashion heritage.

1.2

Objectives

The project sets out to: - pilot the digitisation of the Zandra Rhodes fashion archive by selecting and photographing 500 designs representative of key phases of her creative career from the late 1960s onwards - verify the metadata for each selected design and develop an electronic database - host the Digital Study Collection through VADS - develop an innovative OER based on 25 exemplary garments - compile scholarly material for generating the OER - test and embed the OER in undergraduate and postgraduate teaching - launch the OER on Jorum - promote both the Study Collection and the OER nationally and internationally

An Open Educational Resource (OER) based on 25 exemplary garments will be compiled with suitable complementary primary and secondary scholarly material to provide a commentary that contextualises the garments. The OER will be piloted on myUCA and deposited with Jorum.

1.4

Overall Approach

The selection, preparation, photography, and cataloguing of the 500 fashion items will take place in Zandra Rhodes’ studio in London using the extensive first-hand knowledge of its creator, her team of professionals, and the Freelance Photographer. This work will be supported by student assistants who will be recruited from the BA programmes in Fashion at UCA. The Project Manager and Digital Cataloguer based at UCA will visit the studio regularly for project meetings and to provide input, guidance, and support on the cataloguing and digitisation process as needed. The project team at UCA will also be responsible for the online delivery of the Digital Study Collection and the creation and testing of the OER. The development of the OER will be informed by consultation with a focus group of fashion teaching staff and students at the University as well as two external academics in this subject area. Preparation 15 items will be identified for digitisation and cataloguing each week and the items will be mended, ironed, and prepared as needed under the guidance of the Metadata Researcher based at Zandra Rhodes Studio. Using her specialist knowledge of the collection, the Metadata Researcher will either complete paper forms describing the items or enter this information directly into the digital catalogue. The paper forms will include Zandra Rhode's unique style numbers (e.g. 86/112) as the unique ID. The garments will be set-up in the purpose-built studio area ready for photography. Photography A target of 15 items will be photographed per week, which will include four views per garment (front, back, side and one detail view). The items will be photographed with a Gretag Macbeth Colour Checker for colour control. Zandra Rhode's unique style number will be used as the image filename to ensure the data is matched with the images consistently, followed by F, B, S, or D as appropriate to indicate the four different item views. To ensure that the files are suitable for display on the Web, forward slashes will be replaced by dashes in the filenames and spaces will also be omitted (e.g. 86/112F would become 86-112F). Post-production of the images will be undertaken by the Photographer, and uncompressed TIFF version 6 files will be copied to two DVDs on a weekly basis and one copy will be kept on site, whilst the other is sent to VADS for subsequent storage and preservation measures at UCA. Cataloguing A folder of TIFF image files will be added to the Extensis Portfolio database at Zandra Rhodes Studio, which will automatically extract any digital image metadata and produce JPEG images for cataloguing. With training and guidance from the Digital Cataloguer, the student assistants will enter the information from the paper forms into the Extensis Portfolio database, matching the images using the unique style number. A copy of this data will be sent each week to VADS for regular back-up at UCA. The catalogue structure will be designed at the outset of the project by the Digital Cataloguer in agreement with Zandra Rhodes. In order to ensure data consistency and usability of the Digital Study Collection, controlled vocabularies will also be developed. Hosting and storage of digital images The high quality TIFF images will be stored offline at Zandra Rhodes Studio and copies will also be held offline on the dedicated preservation server for the VADS collections at UCA. Low resolution JPEG files for online use will be generated from these TIFFs at the relevant sizes used on the VADS website. A copy of the data recorded in the Extensis Portfolio database will be exported as delimited text and mapped to the VADS repository metadata schema. A web page will be created providing an overall introduction to the collection as well as contact details for reproduction requests and other enquiries. The Digital Study Collection will then be made available via the VADS test website, which Zandra Rhodes and the consultant will be able to view in order to make final edits and corrections to the data prior to the collection going live. Further web development is not within the scope of this project which utilises the existing VADS technical infrastructure. Copyright audit The copyright status of any additional primary source material that will be used in the OER will be ascertained at the early stages of the project through a visit to the Studio by the Learning Technologist and Project Manager to conduct a copyright audit. Advice will also be sought from Naomi Korn, copyright consultant to the JISC programme, and the project will also draw on JISC guidance such as the Strategic Content Alliance’s IPR toolkit. will be sought where necessary from any third party rights holders and a diligence file will be maintained. Development of the OER The Learning Technologist at UCA is responsible for creating the OER. The Learning Technologist will undertake three visits to Zandra Rhodes Studio in order to keep in contact with the project team during the creation of the Digital Study Collection. A decision about the key 25 looks to be used in the OER will be made in collaboration with Zandra Rhodes and her team and in consultation with the OER focus group of fashion teaching staff. VADS will then supply the agreed images and metadata for the 25 fashion garments to the Learning Technologist. The new Digitisation Unit in the UCA Library will assist the Learning Technologist with the digitisation of any complementary primary and secondary source material required for the OER. The Learning Technologist will collaborate with two key members of academic staff from UCA fashion programmes, and ten students from across the UCA undergraduate and postgraduate programmes, as well as two external academics in this subject area, who will constitute a focus group that informs the development of the OER. The OER will be piloted on the University’s student portal, myUCA, and feedback will be gathered in order to further refine the OER before its deposit on Jorum. Embedding the OER The following UCA programmes have been identified where the OER could be embedded: BA Fashion, BA Fashion Promotion & Imaging, BA Fashion Management & Marketing, and BA Fashion Journalism on Epsom campus; and BA Fashion Atelier and BA Fashion Textiles: Print on Rochester campus. At first year level these courses share a module on the cultural, social, and economic contexts of 20th century and contemporary fashion where the OER could be utilised, and the Digital Study Collection and the OER could also be employed at MA level and research degree level to stimulate independent research projects and further the critical reflection and contextualisation of Zandra Rhodes’ creative practice. The OER will be embedded through close collaboration with a focus group consisting of UCA staff, students, and external fashion teaching staff; and the OER will be further disseminated and embedded through workshops organised in conjunction with the UCA’s annual Learning and Teaching conference. Important issues to be addressed - IPR - formulating a suitable licence and consortium agreement that respects and protects the commercial interest of Zandra Rhodes Studio whilst also allowing for non-commercial use of the digitised garments; establishing the copyright status of any primary source material and secondary source material that is required for the OER. -

Digitisation workflow - devising and implementing a suitable workflow for selecting, preparing, digitising, and cataloguing the garments in-situ within a working fashion and textile studio.

Collection care - ensuring the unique, highly valuable, and delicate garments within the Zandra Rhodes collection are handled, stored, and cared for appropriately throughout this process.

Constraints The digital capture of the collection will need to take place in-situ within the working fashion and textile studio where the garments are held in order to ensure their safekeeping. A geographically distributed project team which means that clear, regular, and effective communication is essential.

1.11 Technical Development Metadata A suitable metadata structure and controlled vocabularies for the cataloguing of the garments will be developed in agreement with Zandra Rhodes, which will be mapped to the existing VADS structure, which is based on the Visual Resources Association (VRA) Core 4.0 standard. This metadata will be recorded in an appropriate database, the requirements for which will be specified at the outset of the project. previous project at the National Gallery with their Photographic Department, and was also used for the JISC-funded fineart.ac.uk project). Export functionality into CSV or TAB delimited text will be an essential requirement of this software, in order to export the data to the VADS repository. A copy of the metadata will be transferred from the database at Zandra Rhodes Studio to UCA for back-up on a weekly basis. Digital Photography Images will be captured as RAW files at 300dpi 4896x3264 pixels, and converted to TIFF version 6, sRGB, for archiving. Adobe Photoshop will be used for adjustment of white balance, exposure, and any other necessary post-processing. VADS Website The digital collection will be deposited with VADS and hosted on the VADS image repository (vads.ac.uk) which currently runs on:  UNIX Operating System (SunOS)  Apache 2.2.4  MySQL 4.1.15  PHP 5.2.8 Full backups of the VADS website are taken once a month and incremental backups are taken nightly. Additional SQL backups are taken before uploading new collections and before any other significant changes are made to the database. Digital Preservation UCA holds a dedicated server for storing high resolution copies of the VADS image collections offline. The Zandra Rhodes Studio will also store copies of these master files locally in their offices in London. As the garments are photographed throughout the project, copies of the high resolution images will be transferred on DVD each week from the Zandra Rhodes Studio to the VADS team who will transfer them on to their dedicated server at UCA. Open Educational Resource The current preference is to develop the Open Educational Resource using the Xerte open source tools, which were developed by University of Nottingham (http://www.nottingham.ac.uk/xerte/). The OER Developer will also conduct an audit of any other available tools to consider which would be most appropriate to the project. The Open Educational Resource will be piloted on the University’s student portal, myUCA, which uses the Blackboard software, and the final OER will deposited with the Jorum repository of learning and teaching materials (jorum.ac.uk).

1.13 Intellectual Property Rights The project is based on the collection of fashion garments owned and designed by Zandra Rhodes and located in London. Zandra Rhodes has written a letter of support for the project giving full agreement to the digital capture of these objects and complementary primary source material. Formal licence and consortium agreements are in preparation which will deal with the licensing for any digital material that is created. This will ensure that copyright in the original digital images is not transferred and is retained by Zandra Rhodes, but will permit use of the collection for non-commercial purposes. The copyright status of any additional primary source material and secondary source material selected for use in the OER will be ascertained at the early stages of the project through a copyright audit. Advice will also be sought from Naomi Korn, copyright consultant to the JISC programme, and the project will also draw on JISC guidance such as the Strategic Content Alliance’s IPR toolkit. 2.2

Project Management

The Pro Vice-Chancellor for Access and Widening Participation and Executive Dean for Kent at UCA will act as the Project Sponsor who will champion the project. The Director of Research and Enterprise at UCA will act as the Project Director. The project will be managed by a Project Manager, who will be responsible for the day-to-day management of the project and ensuring effective communication between the project team. The Project Manager will also provide regular reporting to JISC and to the Project Director. The project team will consist of the Metadata Researcher, Digital Cataloguer, Photographer, the Learning Technologist, two consultants, and student assistants. The Metadata Researcher will lead on: the selection and identification of fashion garments; the establishment of the metadata set supported by the expertise of Zandra Rhodes as consultant; the staging of the fashion items for digital capture; and they will also ensure the accurate match between the physical and digital data. The Digital Cataloguer will develop the digital metadata catalogue for the recording of this information, provide training and ongoing support on its use, and will also develop an appropriate metadata structure, controlled vocabularies, and written guidelines to document and support use of the catalogue. The Photographer will execute the digital photography and post-production of the digital images, and will lead on the staging and lighting of the items. the fashion items is supported by two student assistants assisting in the inputting of data into the digital catalogue, and the unwrapping, staging, and storage of items as appropriate. The Learning Technologist will lead on the development of the OER collaborating closely with a focus group of fashion staff and students at UCA. The new Digitisation Unit in UCA Library will support the Learning Technologist with the scanning of complementary primary and secondary source material for use in the OER. The freelance consultant through his knowledge of the Zandra Rhodes Studio and the wider fashion sector will support the Project Director and Project Manager with the dissemination, promotion, and sustainability aspects of the project. Project Advisory Group The Project Sponsor, Project Director, Project Manager, the two consultants, VADS Director, UCA’s Dean for Learning and Teaching, UCA’s Head of Development and Alumni Relations, and an invited member from JISC will form the Project Advisory Group. The Project Advisory Group will meet at the inception of the project and then every three months to oversee the direction and progress of the project and will remain in virtual contact via email, Skype, and telephone as required during the intervening period.

The Digital Cataloguer will provide the student assistants with training and support on how to use the metadata catalogue and how to input metadata. The Metadata Researcher will oversee and provide student assistants with training on the preparation, staging, care, handling, and storage of the fashion garments. The Learning Technologist is attending the ‘Introduction to OER’ workshop at JISC on 30 November 2011. Any other training needs will be ascertained at the outset of the project.
