Project Name Student Dormitory Management System Project Description

Project Background Nowadays, the dormitory management has become more and more difficult. More information needs to be recorded, and more perspectives need to be considered. Obviously, the traditional way such as writing the information down and keep it in a room, which is used for keeping paper-made data, is not convenient. The traditional way of managing the dormitory seems far out of date, and bring it into information age is necessary.

Project Introduction This project is a Student Dormitory Management System. This system aims at helping the dormitory administrator managing the information during daily work. It would make the dormitory administrator’s work easier, more efficient, and make fewer mistakes.

User Introduction

administrator and the students who are on duty in the dormitory.

z Dormitory administrator The dormitory administrator is in charge of all kinds of things in the dormitory. He or she can manage the dormitory information by using the system.

z Students on Duty The students on duty will help the dormitory administrator to manage the dormitory information.

Glossary

On duty The dormitory administrator is on duty means that he sits in the duty room and keeps an eye on the coming students and guests. Before the on duty time is over, the dormitory administrator should finish the duty record. Changing shifts There are two shifts on duty in charger of the day time and the night time. The day-shift hand over to the night-shift or the night-shift hand over to the day-shift that’s changing shifts. Patrol The dormitory administrator patrols around the dormitory to check if there are any abnormal thing happened. Student on The student and dormitory administrator on duty together, in this circumstance the student is in the saloon while the dormitory administrator still in the duty room. Laundry service The service provides by the dormitory administrator that the dormitory administrator washing the students sheets, coverlets and curtains at regular time. Disinfecting service The service provides by the dormitory administrator that the dormitory administrator disinfects the whole dormitory at regular time. Key rental Rental the room key for student whose key was lost and couldn’t enter their room, and the student must mortgage their ID card before returning the key back. Security education

Teaching the students how to use the emergency exits, and giving them a list of forbidden electrical appliances in the dormitory. Student’s number The ID number of the students in their university years. Contact The way to contact the student, students’ mobile phone number is required. ID The ID of People in people republic of China Scattered client The temporary client, check in for only a few days. Residential registration and unsubscribe Some times people may need to rent a room in the dorm to stay for just a few days. In this condition, the administrator needs to record the person's related information as well as the proper time he get the room and the proper time he live. Maintenance Dormitory maintenance is the service which maintains facilities in a dormitory once broken. Description of the issue The description should states clearly the current situation of the item that requires maintenance and the probable cause if known. Maintenance result The maintenance record tracks the result of a service including the detail such like the renewed part. Visitor He who does not live in the dormitory is regarded as a visitor weather he is member of the university or not. Visitor Log Visitor log is the record that keeps the information of the visitors. Valid voucher number Any valid voucher that indicate the visitor ID is acceptable, such like ID card、student card.

Sanitation Check The dormitory administrators must check the sanitation of the dormitory once two weeks and record the score of each room. Score The score represents each room’s sanitation situation. If the sanitation of the room is good, it will get a high score. Examiner The examiner represents the name of the dormitory administrator who checks the sanitation of the dormitory. Final score At the end of each semester, every room will get a final score which is an average score of the sanitation situation for the whole semester. Goods for daily use Goods for daily use mean the things that students use in the dormitory in the daily life. Disinfectant pills Disinfectant pills are a kind of drug which the dormitory administrators give students to clean their rooms when there are infectious diseases in the dormitory. Cleaning tools Students or cleaners use cleaning tools to clean the environment of the dormitory. Room matching items Room matching items mean the goods already in the room before students move in. Registration of students' late back The dormitory administrators must record some details whenever a student come back late in the night. Reason of coming back The reason why the student came back. Student's basic information Include student's name, student's number, student's dormitory number and student's class.

Leave time The time when the student left. Back time The time when the student will come back or came back.

Functional Requirement

Login and logout The dormitory administrator can login the system by using his username and password. When he wants to exit, he could logout safely. z

Duty management In the Duty Management module the dormitory supervisor can easily handle the a series of documents about duty management including duty record, changing shift record, security record, patrol record, and student on duty record. The detail descriptions of those records as follow: ‹ Duty record A detailed record about what happened in the dormitory during on the duty time, including the guest information, beginning time, end time and detail information of the duty process. ‹ Changing shifts record A record about the changing shifts, including who is on duty now, and next on duty person’s name, time for changing shifts. ‹ Security record A record about dormitory security, if any abnormal things happened in the dormitory should be written down. ‹ Patrol record A record about when and what happened during the dormitory supervisor patrols around the dormitory. ‹ Student on duty record A record about the basic information of the student on duty, and the records of his duty time. z

Record of the students’ information The students’ information includes student’s collage, major, grade, student’s number, contact, ID, name, room number and the picture of the student. z

Manage the students’ information To manage the students’ information, including modifying the students’ detailed information, updating the students’ information and deleting the students’ information. z

Record maintenance service Once an application of maintenance service is raised, the system records the date of the application and a brief description of the problem.

When the maintenance staff is in service, the system records the clear situation of the issue according to the staff. When the service is finished, the result such like what is renewed is recorded. z

Keep visitor records Anyone that does not live in the dormitory is regarded as a visitor and the system records the visit. Personal information including voucher number is necessary. The visiting time, reception person and the reason of the visit are also required. When the visitor leaves, the departure time is recorded. z

Record the sanitation of dormitory The dormitory administrators can record each room’s score after the sanitation check. At the end of the semester, the dormitory administrators can make a room ranking list and hand it to the tutors as the students’ dormitory scores for their scholarships. z

Registration of students' late back Every student will have a record every time he or she came back late.

School leavers' management Record the students’ basic information, leave time and back time whenever students want to leave school several days. So that the dormitory administrators could control the students' whereabouts. z

Dormitory Services management In the Dormitory Services Management module there are 4 sub-modules in it. They are laundry service module, disinfecting service module, key rental module, security education module. ‹ Laundry service management, record the date of current laundry service, the washing thing for current laundry, the room number and students who participate in this laundry, whether the washing things are return back the students. ‹ Disinfecting service management, record the date of current disinfecting service, why disinfect the dormitory and the pills used in this disinfecting. ‹ Key rental management, record the lend key’s room number and the borrower’s ID card number and the borrower’s name. ‹ Security education, record the reports of the Security education. z

Goods management for daily use This function is responsible for management of daily goods. The dormitory administrators can record the information that students of which room have received garbage bags each week and cleaning tools

each semester. When there are infectious diseases in the dormitory, the dormitory administrators are able to record that students of which room have been infected and students of which room have received disinfectant pills. The dormitory administrators can record room matching items before students move in so that they can check whether the room matching items are lost or not when students graduate from school. z

Scattered clients’ residential registration and unsubscribe To record the scattered clients’ residential registration and unsubscribe, including recording the client’s name, ID, contact, how long he will stay, and the number of room which he will live in. Update the information after the client checks out.

Nonfunctional Requirement

Robustness The system must run 24 hours a day and 7 days a week. z Security The system can not be free to access by others and if the dormitory administrators want to use the system, they must enter the correct user name and password. z Performance To make it easier to use, the GUI needs to be used friendly. z User Interface The interface must be easy to understand and all the styles must be unified.
